Because of the growth of the business in Europe, a dedicated PMO is put in place, to support the organization by project governance and as such enhance the quality and speed of our project delivery.
During the project execution, you will support project teams with document configuration management and be first contact point for the customer on this matter. You will provide hands-on administrative support to Project Managers to prepare project reviews and financial follow up of projects. You collaborate with various stakeholders to ensure an optimal flow of document management.

Function
Key responsibilities:
Document configuration management
• You will be the interface between the project teams and the customer in case data packs and mandatory documents are exchanged. You will assure documents are released using the correct format. In a similar way, you will handle documents received from the suppliers.
• In case of missing documents or discussions on version control, you will be first point of contact.
• You will standardize and optimize how project documents (and full data packs) are stored in our database (Pro.File). You will optimize the way of work, in alignment with various stakeholders within the company.
Support towards the Project manager/Team Leads
• On a monthly basis, you will prepare project review documents, based on information available in the financial system/project management tool (Clarity).
• You will organise the monthly project reviews and ad hoc steering meetings with customers.
• You will provide administrative support to the PM to get invoices and payments out. Additionally you train and coach new PM’s in the usage of the tools.
• You will support the PM’s and team leads with the utilization of the project management tool. You will support in the resource capacity process and coach team leads to optimally leverage the tools.
• You will support follow-up of cash-in/out forecast.
• You will be responsible to ensure data quality in the financial system/project management tool.
• You collaborate with the Belgian, Polish and Luxembourgish office.
Support towards the Time Writers
• You will follow-up and report on Timesheets and support on issues with Timesheets.
Profile
• Bachelor’s Degree (or equivalent experience) in an appropriate discipline
• Punctual, detail oriented and eager to learn
• You are hands-on and not afraid to take on new tasks
• You get energized by project administration
• Highly motivated to get documents organized and structured in an IT system
• Effective communication skills
• Demonstrated ability to work independently, as well as in a team, and to deliver high quality outputs in a timely manner.
• Good knowledge of Excel and Word
• Fluent in English, knowledge of Dutch is a plus
• Knowledge of Pro.File ,Clarity or Power BI is a plus
• Any knowledge/experience of project management tools is considered a strong plus.
