STScI’s Business Support Branch seeks a Senior level Administrative Assistant (#0010598) to provide high-level customer service to the Science Mission Office. You will provide administrative support including travel coordination, procurement, data management, problem resolution, electronic circulation/filing of documentation, coordination of calendars and meeting requests.

This position supports a hybrid work environment. You will be required to provide onsite support at our Baltimore campus on an as-needed basis. Candidates must reside in or be willing to relocate to our local market (MD, DE, VA, PA, DC & WV).
Responsibilities include:
- Providing primary administrative support for the institute’s Postdoc program, working closely with the Postdoc hiring committee and the individual Postdocs throughout their Postdoc careers.
- Processing a high volume of Travel documents and Check Requests.
- Processing Research Directory profiles using Jira.
- Processing purchase requisitions (PR’s), tracking pending procurements, monitoring purchase orders, and processing invoices.
- Preparing offices for incoming Postdocs.
- Serving as backup for the institute’s Visitor program.
Your Experience, Skills & Qualifications:
- High School graduate or equivalent, with 7+ years prior administrative experience.
- Familiarity with Deltek/Costpoint preferred.
- Ability to work independently and prioritize work requests, with strong attention to detail.
- Intermediate to expert skills in Outlook and Microsoft Office, especially Excel.
- Ability to cultivate and develop collaborative working relationships with internal and external stakeholders
- Must be a team player. You will have specific duties assigned, but should be willing to help team members as needed.
- Substitution of additional relevant education and/or experience for stated qualifications may be considered.
Compensation is commensurate with education and experience. The salary range for this role is $45-60,000 annually.
